Team members of the organization that created the event, and of its co-hosts, can scan tickets.
Scanning in Admin
- In Admin, go to Events and open the event.
- Select Scan tickets, then Scan now.
- Select Start camera and allow camera access.
- Point the camera at the QR code on the attendee's ticket.
Scan tickets appears once the event is published and disappears when the event has ended.
Scanning in the Orbi app
- Open the event in the Orbi app.
- Tap Scan tickets. In some versions of the app, it's Go to ticket scanner at the top of the event page.
- Point the camera at the QR code on the attendee's ticket.
See How to scan tickets in the Orbi app for the scan results and other details in the app.
What the scanner shows
These are the messages in the Admin scanner. The app shows the same information with different wording: a valid ticket shows Ticket consumed, and a used, refunded or transferred ticket shows Ticket no longer available.
- Ticket checked in: the ticket is valid. You see the attendee's name and email, the event and the ticket name, plus any answers to your questions.
- Ticket already checked in: the ticket has been used before.
- Ticket refunded or Ticket transferred: the ticket is no longer valid for this person.
- Transfer pending: the ticket can't be checked in until the recipient has accepted the transfer.
- This ticket belongs to another event. or We do not recognize this QR code.: the code is not a ticket for this event.
If you checked in a ticket by mistake, select Undo check-in. The scanner also shows how many tickets have been checked in out of those sold.
Letting volunteers scan on your behalf
- Select Scan tickets on the event in Admin.
- Select Copy scan link and send it to your volunteers, or select Show scan QR code and let them scan it with their phone.
See Scan tickets using a scanning link for the full volunteer guide.
Troubleshooting: scanner not working
If the scanner stops working during your event:
- Make sure the browser or the Orbi app is allowed to use the camera. If you see Camera access was denied, allow camera access in your browser settings and try again. In the app, if you see No camera access, tap Grant permission.
- Make sure all scanning devices have the latest version of the Orbi app
- Check that devices have an active internet connection
- Check that the event end date and time are correct. Scan tickets is hidden in Admin once the event has ended.
- In the app, if you see Scanner paused, the battery saver has turned off the camera. Tap Resume scanner.
- Try closing and reopening the app or browser tab
If a QR code won't scan, an Admin can check the person in by hand from the Attendees tab. See How to view and export your attendee list.
