How to hand over your organization to a new board

Give the new board access to Admin, check your organization page and payments, then remove the old board when the handover is done.

Updated October 1, 2026

When a new board takes over, the old board gives them access to Admin before leaving. Events, posts, memberships and the Orbi Pay account belong to the organization, so nothing needs to be moved or created again.

Follow the steps in this order so your organization always has at least one Admin.

1. Invite the new board as Admins

The old board does this. Only Admins can invite people.

  1. Go to your organization page on orbi.io, click Enter Admin and select Team in the sidebar.
  2. Click Invite and enter a new board member's Email.
  3. Set the Role to Admin. New invitations are set to Member by default.
  4. Click Add another for each extra person, then click Invite.

Make at least one person on the new board an Admin. Only Admins can invite people, change roles and remove people from the team. See How to invite a team member and How to manage team roles and permissions.

2. The new board accepts

Each new board member:

  1. Opens the link in the invitation email.
  2. Signs in with the same email address the invitation was sent to.
  3. Clicks Accept Invitation.

If they are signed in with a different email address, they see Switch Account and need to sign in with the invited address. Invitations that haven't been accepted show as Pending invitation on the Team page. They expire after 90 days.

3. Check your organization page

Select Organization page in the sidebar and go through the name, logo, cover image, description, Contact and Links. Contact details often still point to the old board. See How to edit your organization page.

Each event also has its own Contact section on the Info tab. Update it on upcoming events.

4. Check payments

Everyone on the team can open Payments, both Admins and Members. The new board doesn't need to set up Orbi Pay again.

  1. Select Payments in the sidebar.
  2. Check the status next to the title. Verified means your payment information is complete. See What does the status on the Payments page mean?
  3. To review the information registered with Stripe, select Update information.

Admin has no setting for changing who the Orbi Pay account is registered to. If it's registered to someone on the old board, for example as the organization's representative with Stripe, contact Orbi support.

If the page says Payments are managed by another organization, only that organization can change payment settings.

5. Change the bank account if needed

If payouts should go to a new bank account, see How to change the bank account for payouts.

6. Remove the old board

Once the new board has accepted, an Admin on the new board removes the old board:

  1. Select Team in the sidebar.
  2. Open the menu next to the person and choose Remove.
  3. Confirm with Remove.

Removed people lose access to Admin for your organization and get an email saying they were removed. To keep someone on the team with fewer rights, choose Edit role instead and select Member.

What stays with the organization

  • Events, posts and memberships stay in Admin after the old board is removed.
  • Removing someone from the team only takes away their access to Admin. Nothing they created is deleted.
  • Their own tickets and memberships as students are not affected.

Common issues

  • No menu next to your own name? You can't remove yourself or change your own role. Ask another Admin to do it.
  • A new board member can't open Admin? Check that they accepted the invitation with the same email address it was sent to. If the invitation expired, send a new one.
  • No one on the team is an Admin any more? Contact Orbi support.
