How to invite a co-host to an event

Invite other organizations to co-host your event, accept or reject invitations you receive, and see what co-hosts can do.

Updated October 1, 2026

A co-host is another organization on Orbi that runs the event with you. The event shows up in the co-host's Admin too.

Invite a co-host

  1. In Admin, go to Events and open the event.
  2. On the Info tab, find Co-hosts and select Add.
  3. Search for the organization, or pick one under Suggested organizations. You can select several.
  4. Select Send invitations.

The team members of the invited organization get an email. The co-host shows as Pending until they answer. When they accept or reject, your team gets an email and the status changes to Accepted or Rejected.

You can invite co-hosts to draft and published events. An event can have up to 20 co-hosts, counting both pending and accepted invitations. If an organization has rejected an invitation, you can invite it again.

Accept or reject an invitation

When another organization invites you, the Events item in the sidebar shows how many invitations are pending.

  1. In Admin, select Events in the sidebar.
  2. Open the Invitations tab.
  3. Select Accept or Reject on the event, then confirm.

If you accept, your organization is added as a co-host and the event appears under Events.

What co-hosts can do

Co-hosts cannot edit the event. In the co-host's Admin the event is view-only, and only the organization that created it can make changes. Co-hosts can:

  • See the event information, Insights and Attendees
  • Export the attendance list and ticket answers
  • Post on the event from the Posts tab
  • Scan tickets at the door

Refunds and manual check-ins on the Attendees tab are only available to the organization that created the event.

To remove a co-host or cancel an invitation, see How to remove a co-host from an event.
